do we gather customer information and how do we safeguard and use it? We gather, keep and use customer information because we believe that it will improve our understanding of the needs of the customers. Based on this information, we are able to offer customers attractive products and services. The customer information is also used for finding solutions to problems that may arise. We gather customer information for use in customer service, customer care (authentication and identification of the customer, assurance of compliance with the agreements made with the customer, communications, direct marketing), risk management and reporting to competent authorities. We are always happy to explain our policies to users. How do we keep customer information up to date? - To the top We strive to keep our customer information up to date but if a customer notices a mistake, for example in a bank statement, we kindly request him or her to report it. Restricted access to customer information by bank staff - To the top Access to customer information is limited to those staff members who need it to do their job. We are constantly training the staff to understand the importance of trust and privacy. We apply Aktia-wide standards for classification of information to ensure its confidential usage and storage. Maintaining data security to protect customer information - To the top We apply approved security rules and procedures to prevent unauthorised personnel from accessing customer information. The safeguards include passwords, firewalls, network security, fireproof safes and safe disposal of superfluous information and documents. Disclosure of information - To the top Personal data concerning the customers are only released subject to the confidentiality requirements observed in banking, mutual fund and investment services or with the consent of the registered customer. The information may be exchanged between the Group companies (the most important being Aktia Savings Bank plc, Aktia Fund Management Ltd, and Aktia Asset Management Oy Ab) for customer service, customer care, marketing and risk management purposes. Additionally, the information is released to the authorities that have lawful access to it irrespective of any confidentiality restrictions. Maintaining the customer's privacy in business dealings with third parties - To the top At times it is necessary for the bank to release information on customers and their accounts to a supplier or service provider that the bank purchases services from. A prime example is an order for a bank card which compels us to the give the necessary information to the card supplier. However, we require that the suppliers and service providers observe confidentiality and comply with the law. We do not allow third parties to sell or use this information for their own purposes. Internet data security - To the top When a customer visits our web site, we apply the same confidentiality and privacy rules as we do to a visit to an actual branch office. We request information in order to be able to offer our customers an improved service and to monitor visitors to our web site. This information is only used for improving services. Access to personal records - To the top Every customer has the right of access to his or her personal data stored in the bank's registers by filing a written request to this effect with the keeper of the register. The written request must be original and signed by the customer. Under Finnish law of personal data 1999/523, the keeper of the register has three months time to give an answer. The customer may, by notifying the register keeper thereof, forbid the disclosure of his or her personal information for the purposes of direct marketing, distance sales, market surveys, and opinion polls. Any erroneous or outdated information will be corrected immediately by the register keeper. Because of bank secrecy, this information cannot be disclosed by e-mail or over an unsecured Internet connection.
